Spring CCP Reimbursement Form

The deadline for CCP Reimbursement is Nov. 1st (11/1/24) for all spring and yearlong courses.

Textbook/Resource Process:

Students can only be reimbursed up to $50 per course. Processes, procedures, and allowable materials for reimbursement are included in this document.

Students will be responsible for purchasing all necessary books and resources for RCCC courses. Students can be reimbursed on allowable items up to $50 per course.

E-text program materials: Students will be responsible for up-front purchases of all necessary books, resources, and e-texts.  Students will follow the processes and procedures outlined for purchasing materials published by RCCC. The syllabus for each course will contain the most up-to-date information on course materials.

Hardship Waiver Process: If a student feels unable to wait for reimbursement, they may submit a Hardship Reimbursement Waiver Request Form (ask Counselor for form). Approval of request is at the discretion of the Chief Academic Officer and Assistant Superintendent of High Schools.  Approved Hardship situations will follow the following procedure:

  1. Student/Parent/Guardian completes Hardship Waiver Request Form and submits to school as soon as possible.
  2. Once approved, students may purchase materials using above guidelines and bring receipt to the Textbook Coordinator.
  3. School Textbook Coordinator will forward approved receipts to the School Treasurer for reimbursement to student/parent. 

Frequently Asked Questions:

  • How do students get course materials for classes? Many courses have e-texts automatically loaded to the student RCCC accounts on or before the first day of class. Students are responsible for purchasing these e-texts on their own (typically this will be billed directly to the student/family). Additional materials may be needed or suggested for these courses, so course requirements should be checked carefully.  Only required materials are eligible for reimbursement.
  • When will reimbursements be issued to students?  Reimbursements for FALL semester resources will be issued after course completion, provided proper procedure is followed.  Reimbursements for SPRING semester resources will be issued in MAY, provided proper procedure is followed.
  • What resource items are reimbursable to students? Students can be reimbursed up to $50 per course for required curriculum resources. Only the following approved and required resource purchases can be reimbursed for fall and spring courses:
    • E-Texts
    • Access Codes
    • Lab Manuals and Fees
    • Text Rentals
    • Textbooks                       
  • What resource items are NOT reimbursable to students?
    • Any Optional/Suggested/Recommended items, such as Exam Prep, Loose-Leaf Companions, etc.
    • Calculators, Trade Tools/Kits, Equipment, etc.
    • NOTE – If you have a question about an item, check with your Textbook Coordinator before purchase.
  • Will reimbursements be given for summer course materials? No; resources needed for summer courses will not be reimbursed.
  • Should students purchase the optional/suggested materials? Optional, recommended, and/or suggested items will not be reimbursed by CCS, so it is up to the student to decide if they want to purchase them at their own expense.
  • Can a student keep his/her course materials? Yes, students will keep all purchased course materials.
  • Do schools need to track down students to purchase materials? It is the student’s responsibility to purchase materials, but schools do have an obligation to ensure students are prepared with the materials they need for courses. 
  • Will someone from CCS contact students to remind them about the reimbursement option and/or deadline? The deadlines are listed at the top of this document.  Schools may post deadlines or reminders, but it is the student’s responsibility to bring receipts to their school by the deadline if reimbursement is wanted.
  • What if a book or material will be used for more than one course?  Books and other resources can only be claimed for reimbursement once. Students are to submit for reimbursement the first time a resource is used.
  • What happens if a course material is lost? Students are responsible for the purchase of materials and will only be reimbursed for initial purchases. If a course material purchased by a student is lost, they may not request a reimbursement.
  • Where can students purchase CCP/NCVPS resources? Resources may be purchased from any business that provides an official (non-hand written) receipt if reimbursement will be requested. Some options are:
    • Akademos (online RCCC Bookstore)
    • Amazon
    • half.com
    • chegg.com
    • Students will only be reimbursed up to $50, so the least expensive option should always be sought out and purchased whenever possible.

Registration Information

Important Registration Information: 

With PowerSchool moving to Infinite Campus and a shortened timeline to do schedule changes this year, we are hoping to implement some things that may make this year's request process more manageable:

  • Students should request CCP courses for Summer 2025 and Fall 2025 by April 25, 2025. If students want to start the CCP process after that date, they can sign up for Spring 2026.
  • Students should also request NCVPS courses for Fall 2025 by April 25, 2025. If a student wants to take an NCVPS after that date, we will put that request in the form for Spring 2026.
  • Because of the need to have fewer schedule change requests this year (due to timeline and IC transition), students will be able to ask for a schedule change for these reasons:
    • Increase in rigor (wants to add an honors, AP, or CCP to their schedule)
    • Medical need (chose weight lifting but have had an injury, etc.)
    • Choosing a new elective not originally picked if it is needed for their after-HS plans
    • Senior wanting to flex and has enough credits to graduate
    • Admin error (put in wrong class, in class for 2'a time, missing a grad requirement, etc.

This does not mean that a schedule change is guaranteed.
